Consolidating a fragmented advisor workflow into a unified SaaS experience.

OVERVIEW

This project focused on consolidating a fragmented advisor profile management experience into a single, scalable SaaS workflow. To support advisors as independent professionals managing their digital presence across multiple touchpoints.

Advisors previously relied on a legacy internal tool (20+ years old) to manage their internal profile and team relationships, while customer-facing pages and advisor discovery experiences were powered by separate systems. This fragmentation led to duplicated effort, inconsistent data, and friction for advisors who needed to keep their information accurate and up to date.

The initiative migrated this workflow into an existing, customized SaaS dashboard, creating a centralized “business-in-a-box” experience for advisors to manage their profile, team affiliations, and visibility from one place. By leveraging a structured content platform and design system patterns, the new experience balanced continuity for existing users with a foundation built for scale.

THE PROBLEM

How might we modernize a legacy advisor workflow while preserving familiarity for advisors to confidently manage their profile and team presence without a steep learning curve?

The client wanted to retire their outdated tool but was cautious about disrupting advisors’ established behaviors. At the same time, simply recreating the legacy experience would have limited the platform’s ability to scale and evolve.
The design challenge was to:
  • Introduce platform-native patterns that support long-term growth
  • Reduce complexity and duplication for advisors
  • Work within partial documentation and limited system access
  • Align the experience with existing SaaS workflows and visual standards

THE GOAL

  • Replace a legacy internal advisor profile tool with a scalable, platform native solution
  • Provide advisors with a single place to manage their profile and team relationships
  • Reduce friction and cognitive load when editing presence-related information
  • Leverage structured data to support consistency, governance, and future expansion

MY STRATEGY

I led product design from discovery through high-fidelity execution, partnering closely with Engineering and client stakeholders.

Due to limited access to the legacy system, I began by synthesizing the available screenshots and documentation to map the known user journey. I proactively surfaced gaps, assumptions, and unknowns, then worked directly with stakeholders to validate them.

To deepen understanding, I facilitated a live screenshare walkthrough of the legacy tool, observing real workflows, edge cases, and system logic in action. I documented insights through annotated screenshots and flow diagrams, which informed early wireframes and design explorations.

This approach reflects how I work in fast-moving product environments:
  • Designing with partial input
  • Turning ambiguity into a clear design direction
  • Balancing user needs with system and business constraints

KEY UX DECISIONS

I consolidated a fragmented, multi-modal profile editing flow into a single structured experience and redesigned the information hierarchy to clearly differentiate editable fields from system-controlled data. These UX decisions improved clarity, reduced friction, and aligned the product with the latest SaaS editing patterns.
Consolidating Multiple Modals into a Single Editing Experience

The legacy tool required advisors to navigate multiple pop-up modals to edit different parts of their profile. This fragmented experience increased cognitive load and obscured how individual fields worked together.

I consolidated these interactions into a single, structured page view that surfaced all editable profile information in one place. This reduced clicks, improved visibility into the advisor’s full presence, and aligned with modern SaaS editing patterns while remaining intuitive for existing users.

Why it mattered:

Advisors could now confidently update their information in one pass, supporting speed, clarity, and trust in the platform.

Clearly Separating Editable vs. System-Controlled Information

Some profile fields were populated from pre-approved external systems and were not editable within the dashboard. Previously, this distinction was unclear, leading to confusion and false expectations.

I designed a dedicated, read-only section for system-controlled data, clearly separating it from editable fields. This made data ownership transparent and reduced frustration, while still giving advisors full visibility into how their profile was represented.

Why it mattered: 

This reduced uncertainty and support burden, and reinforced the platform as a reliable source of truth.

I created a dedicated page within the Advisor Digital Presence Dashboard, matching native Yext data entry fields in both appearance and behavior for a seamless editing experience.

IMPACT

Streamlined user flow: A single modal experience significantly reduced friction and cognitive load during profile updates.

Consistent, high-quality UI: The new tool aligned visually and behaviorally with the existing SaaS dashboard and design system.

Unified platform experience: Advisors now manage their presence across multiple surfaces from one centralized product.

Foundation for scale: Structured data and platform-native patterns enable future enhancements without reintroducing legacy complexity.
